BOOKING PROCEDURES
All bookings are made with Asian Hiking Team Pvt. Ltd. based at Thamel, Kathmandu, Nepal. The trip is referred to as a Company in the booking conditions. We take your reservation to join an Asian Hiking Team trip seriously. Our Booking process will require some extra time and paperwork from you, but this helps us do a better job screening our Clients and ensuring that we get on a program that fits their experience and expectations. Please do not hesitate to contact us if you have questions regarding our application procedures.
Supporting Materials for Trekking, Tours and Peak Climbing:

For Expedition only - you need to send us following documents too :
a) Health Certificate.
b) Perosnal Bio-data.
c) Full doses (two) of COVID Vaccinated certificate.
Note: If you are UNDER THE AGE OF 18 (Note: only for Peak climbing and expedition): you must be accompanied on the climb by a parent or legal guardian and both you and your parent or legal guardian must sign ALL FORMS.
PASSPORT AND PHOTO: For Asian Hiking Team programs, we need a high quality copy of the first two pages of your passport and Passport size picture; showing the full name, signature, date of birth, passport number. Please make sure that your passport is valid for at least 6 months after the trip to avoid visa problems. Copy of Passport and passport size picture (scan) send by email. We encourage you to sent application materials using sent via email (info@asianhikingteam.com or info@nepaladventuretour.com)
PAYMENT INFORMATION: The Asian Hiking Team does not accept a part of trip fee at the end of your trip. All the trip fees are required to be fully paid before your trip start. You need to pay 20 percent down payment of the total price for advance flight tickets and hotel booking and permit process. Payments are wired by bank transfer, or credit card, or Western Union, or money grams or any money transfer. Please, use any ways of transfer according to your convenience. For advance payment, we will send you the bank details by email, or you can ask.
Payment of the Balance
As regards to the rest of your trip fees, you pay after your arrival in Kathmandu. For Expedition, 50% amount can be paid before a month of your arrival.
Last Minute Booking
We accept your last minute booking for ONLY IN CASES OF NEPAL TRIP, but LAST MINUTE BOOKING WILL NOT BE ACCEPTABLE FOR BHUTAN AND TIBET TOUR.
Cancellation/Refund
Cancellation should be made 48 hours before departure and 20% cancellation charge is applicable beside Tax, transportation, permits and others fixed expensive. In regard to refund of unused/utilized services (which are paid for and cancelled in advance) the refund amount would be worked out on the basis of cancellation policy as described above. The money would be accordingly refunded to the person who has made the payment to us. Please, note that the refund process may take 2–3 weeks due to banking procedures. If the refund is made to the credit card amount or to a bank account, the bank charges would be debited from the refund amount.
Incomplete Tour
In case of incomplete Trekking / Tour / Rafting / Climbing / Expedition / Jungles safari / or others days due to the client own problem, the amount of money paid not refundable. If clients want to go Trekking / Tour / Rafting / Climbing / Expedition / Jungles safari / or others tours more than itinerary, they can pay after back from tour with per day basic but should be permission with Tour guide / Leader.
Unexpected Circumstances
If Asian Hiking Team cancels your trip because of unforeseen circumstances like war, natural disasters, conflict, unfavorable climate etc., we will be happy to refer you an alternative trip of a similar standard. Even if this doesn’t fit your personal interest, all money paid by you to our company will be refunded. But remember, any other expenses incurred by you as a result of this booking are entirely your responsibility.
Clients' Responsible
A tour / trek/Expedition guide who represents Asian Hiking Team deserves all authority during your tours/Trek/Expedition.
PERSONAL INSURANCE and TRAVEL ARRANGEMENTS:
We expect clients to be in good health and possess the physical fitness level required for their particular program. Consult with your doctor before coming to Nepal. All customers are required to carry approved travel insurance that includes medical evacuation, repatriation and medical expenses for the duration of their program. Climbers (use of ropes, crampons, ice axes, etc.) must have a plan that covers technical, high-altitude mountaineering.
