How to Book Trip?

All bookings are made with Asian Hiking Team Pvt. Ltd. based in Thamel, Kathmandu, Nepal. The trip is referred to as a Company in the booking conditions. We take your reservation to join an Asian Hiking Team trip seriously. Our Booking process will require some extra time and paperwork from you, but this helps us do a better job screening our Clients and ensuring that we get on a program that fits their experience and expectations. Please do not hesitate to contact us if you have questions regarding our application procedures.

There are Three steps: 

Step - 1.

Submit the Booking Form Or Personal Registration Form(if you have not all the information at the time to fill the form, you can fill whatever you have and send us, rest of the information, you can give us upon arrival in Kathmandu).

Step - 2.

Payment of the trip secure Deposit

Step - 3.

Send us Passport copy, and Passport size picture - send by email.  

For Expedition only - you need to send us the following documents too: 

a) Health Certificate (For Expedition only):

A health certificate is an official document that shows that the applicant's health status. It's written by a doctor and mentioned good hearth to go high altitude.  

b) Personal Bio-data (For Expedition only): 

Your bio-data summarizes most aspects of your life, including personal details, education, Mountaineering skills and work experience. The bio-data format, we can send to you as well, if you require. 

Note: If you are UNDER THE AGE OF 18 (only for Peak climbing and expedition):

You must be accompanied on the climb by a parent or legal guardian, and both you and your parent or legal guardian must sign ALL FORMS.

PASSPORT AND PHOTO:

For Asian Hiking Team programs, we need a high quality copy of the first two pages of your passport and a Passport size picture; showing the full name, signature, date of birth, passport number. Please make sure that your passport is valid for at least 6 months after the trip to avoid visa problems.  Copy of Passport and passport size picture (scan) send by email. PAYMENT INFORMATION:

The Asian Hiking Team does not accept a part of the trip fee at the end of your trip. All the trip fees are required to be fully paid before your trip starts. You need to pay 20 percent down payment of the total price for advance flight tickets and hotel booking and permit process. Payments are wired by bank transfer, or credit card, or Western Union, or money grams or any money transfer. Please, use any ways of transfer according to your convenience. For advance payment, we will send you company bank details by email, or you can ask.

Last Minute Booking:
We accept your last minute booking for ONLY IN CASES OF NEPAL TRIP, but LAST MINUTE BOOKING WILL NOT BE ACCEPTABLE FOR BHUTAN AND TIBET TOUR.

Booking and Payment
A minimum deposit of 20% of the total trip cost is required at the time of booking.
For Expeditions and international flights, 50% deposit before one month.
The remaining balance must be paid upon arrival in Kathmandu before the trip begins.
Payments can be made via bank transfer, Western Union, money transfer, credit card (with applicable charges), or in cash (USD, Euro, NPR, or other major currencies).

Cancellations and Refund Policy
More than 7 days before trip start: 80% refund (excluding non-refundable costs).
48 hours to 7 days before trip start: 70% refund.
Less than 48 hours or no-show: No refund.
No refund will be made for incomplete treks or early departure.
Refunds are processed within 2–3 weeks; banking charges may apply.

Trip Alteration or Cancellation by Asian Hiking Team
We reserve the right to cancel or modify a trip due to weather, political unrest, health risks, natural disasters, or insufficient participants.
In such cases, clients will be offered a full refund (excluding non-refundable expenses) or an alternative trip.

Travel Insurance
Clients must have valid travel insurance covering:
Emergency evacuation
Medical treatment
Trip cancellation/interruption
Personal liability and loss/damage to personal belongings

Health & Fitness
Clients must be in good physical and mental condition for the chosen trip.
For Expedition trips, a medical certificate and prior experience may be required.

Risk Acknowledgement
Clients acknowledge that adventure travel involves essential risks such as accidents, altitude sickness, landslides, weather changes, earthquake and political disturbances.
By joining our trips, clients accept these risks and agree not to hold Asian Hiking Team responsible for accidents, injuries, or loss of personal belongings.

Responsibilities & Conduct
Clients must comply with instructions from guides/porter and local authorities.
Disrespectful or disruptive behavior may result in removal from the trip without refund.

Personal Equipment
Clients are responsible for bringing their own personal trekking/climbing gear unless specified.
All group gear (as includes on the cost) provided by Asian Hiking Team must be used responsibly and returned in good condition.

Image and Media Rights
Asian Hiking Team reserves the right to use photos and videos taken during the trip for promotional purposes. Please notify us if you do not wish to be included.

Governing Law
These terms and conditions are governed by the laws of Nepal. Any disputes will be determined under the jurisdiction of the courts in Kathmandu, Nepal.
